The Maintenance & Vendor Coordinator will support our Maintenance & Services Organization and is accountable for scheduling and dispatch of all internal and external vendor work for a collection of properties, work order follow-up and purchase order preparation and execution. The ideal candidate will have a general understanding of facilities maintenance, superior attention to detail and the ability to prioritize competing tasks in the moment.

What will you do?

Serve as front-line maintenance customer service including reviewing requests coming in via our call center and online, contacting residents to troubleshoot and update on request status, and following up with residents to ensure satisfaction
Evaluate work orders/maintenance tickets to determine type of issue (e.g. HVAC, plumbing, electrical, custodial, carpentry, etc.) and appropriate dispatching levels
Own technician and vendor scheduling and dispatching within the Champaign-Urbana market including scheduling vendor work orders, tracking and ensuring work is completed to specifications and actual charges are as quoted
Maintain good rapport with current and prospective residents, including corresponding directly with existing residents on access to their units (e.g. for preventative maintenance, pest control, etc)
Benchmark vendor rates to ensure we have access to the best rates for our clients
Provide a great customer experience through outstanding service and cost consciousness
Learn and ensure compliance with all Fair Housing Laws including local, state, and federal housing regulations (We provide training)
Pivot, roll up your sleeves and jump in where needed!
. Requirements:

Who you are - We d love to hear from you if you:

At least 3 years of experience in property management, construction or within a maintenance organization
Hold a high school diploma or GED
Are proficient with relevant technology (e.g. Microsoft Office, AppFolio, Outlook) and can easily adapt to changing technology
Have an understanding of general maintenance and how to troubleshoot basic requests
Have previous direct customer service experience
Have excellent interpersonal, written, and verbal communication skills
Have the ability to work overtime as needed during high demand times and capacity shortages
Demonstrate superior attention to detail, high energy, and a positive attitude

Some additional things you will need:

Valid driver s license and dependable vehicle. Limited in-town usage of personal vehicle for errands and property visits required any out-of-County personal mileage reimbursed at the Federal rate
Availability to work longer hours and weekends during market turnover in July and August (specific dates vary from year to year)
Must be able to perform the physical functions of the position, not limited to: ability to walk properties, complete physical inspections and deliver resident communications
